Questions to Ask Copier Dealers Before You Sign a Contract

Ask copier dealers about sizing, price exclusions, service coverage, maintenance, testing and written contract terms before choosing a proposal.

A copier dealer should be able to explain how the proposed machine fits your actual workload, who services it and what the bill looks like after the first month. A polished demonstration isn’t a substitute for specific answers.

Bring these questions to ask copier dealers to every quote conversation. Give each dealer the same monthly volume, color percentage, paper sizes, finishing needs and locations so the responses can be compared side by side.

1. What did you use to size this copier?

The answer should connect recommended speed and duty level to normal and peak demand. Ask whether the dealer reviewed meter history or estimated volume. If 11-by-17 output is uncommon, the A3 versus A4 comparison can help prevent paying for unused capability.

2. Which charges sit outside the monthly payment?

Request equipment, service, included pages, overages, installation, delivery, training and taxes as separate lines. Confirm annual increases and end-of-term costs. The copier lease quote guide gives you a consistent way to normalize those numbers.

3. Who will service the machine?

Ask whether technicians are employees or subcontractors, where parts are stocked and how calls are escalated. Get business-hour coverage and any response target in writing. A dealer serving multiple offices should explain how coverage changes by location; use the copier dealer location directory to identify the markets involved.

4. What is included in maintenance?

Confirm toner, drums, fusers, travel, labor and preventive service individually. Staples, paper, shipping and network work may be separate. Review the service agreement checklist before accepting the phrase “all inclusive.”

Ask how the dealer handles repeated faults as well. One repaired paper jam is routine; the same failure every week needs escalation. Find out when a field technician can authorize a replacement device and whether loaner equipment is available during a longer repair.

Put the written answers beside the price when you request copier quotes.

5. Can we test our real files and workflows?

Bring representative scans, color pages, envelopes and finishing jobs. Test authentication, scan destinations and any software integration. Compare office copier brands by the work you need rather than a generic feature list.

What should be written into the proposal?

Include configuration, accessories, volume assumptions, rates, escalation terms, service scope, delivery responsibilities and contract dates. General information in the copier FAQs helps you prepare, but the signed agreement controls the purchase.
